Google New Gemini Workspace now builds Docs and Sheets using your personal data

Google has launched new Gemini Workspace features for Docs, Sheets, Slides, and Drive, designed to make its AI tools smarter, more personalized, and collaborative.

These updates, available in beta starting this week, are exclusive to Google AI Ultra and Pro subscribers. Gemini Workspace now uses context from files, emails, and the web to draft documents, build spreadsheets, create slides, and answer questions in Drive. While Notebookcheck covered earlier Gemini updates last year, there’s no matching March 2026 article for this specific rollout.

Docs: Smarter Drafting with Context Awareness

In Docs, Gemini can now generate drafts based on prompts, pulling relevant information from your files and emails. New tools like “Match writing style” ensure documents sound consistent, while “Match doc format” mirrors the structure of reference documents. The “Help me create” feature integrates data from Drive, Gmail, Chat, and the web to produce formatted drafts with smart chips.

This approach makes Docs feel less like a blank canvas and more like a drafting tool that understands the content in your Workspace account.

Sheets: A Major Upgrade for Data Handling

Sheets receives one of the most significant updates. Gemini Workspace can now create, organize, and edit spreadsheets using natural-language prompts, handling tasks like dashboards, tables, and complex data analysis. The “Fill with Gemini” feature populates tables with summarized, categorized, or newly generated data, including real-time information from Google Search.

Google also claims Gemini in Sheets has achieved “state-of-the-art performance” on the SpreadsheetBench benchmark, with a 70.48% success rate—outperforming competitors and nearing human expert levels.

In Slides, Gemini can create editable slides that match the theme of an existing deck, using context from files, emails, and the web. It can also turn rough materials like sketches or tables into charts and diagrams for presentations.

Drive gets enhanced AI search and summarization tools. Users can ask Gemini to locate and summarize information from files, Gmail, Calendar, and Chat. Searches can be narrowed to specific sources, folders, or files for more targeted results.

Gemini as a Workspace Layer

This update positions Gemini as an integrated layer across Workspace, rather than a standalone chatbot. The focus is on context—using a user’s files, messages, and selected sources to create outputs that feel personalized and practical.

However, these features are currently limited to Google AI Ultra and Pro subscribers, meaning they’re not part of a free rollout.

A Year of Gemini in Workspace

Over the past year, Google has embedded Gemini deeper into Workspace. This update emphasizes the “work with me” approach, automating tasks like drafting Docs, structuring Sheets, creating Slides, and answering Drive queries.

The real test will be how well Gemini handles messy, real-world documents and data. For now, Google is targeting users who need more than basic text generation, aiming to deliver tools that save time and boost productivity.
